Cox Gallery Sitting Schedule

This calendar shows people who have agreed to staff the ORVAG Cox gallery.

  • Hours are Friday and Saturday from 11:00 am to 4:00 pm
  • To add your name to this volunteer schedule, please send an e-mail giving the dates and times you would like to volunteer.
  • Volunteers for the Washington Guild Hall are shown on the main Calendar of Events

Cox Volunteer Procedures – Gallery Sitting

When You Arrive

  1. The door key will be in the lock box on the outside of our gallery door. The code should have been given to you by a member of the Gallery Committee – it will not be published on the web and should not be given out to others. Always scramble the numbers when you take out or replace the key. Turn on the lights and set the Gallery sign out on the sidewalk.
  2. Record the date and your name in the Gallery record book and count and record the starting cash in the cash box. Credit Card payments will be taken through the Guild tablet, so make sure it is on and charged and use the instructions nearby to log into the Square app.

While You Are There

  1. Greet all visitors with a smile, try to answer their questions as best you can, and be sure to offer information about ORVAG. There are brochures with some of our regular activities listed that you can give out, as well as business cards for specific artists on the wall by the door. Also mention our Washington Hall location to people who seem interested.
  2. Make sure to record the number of visitors in the record book, either with tally marks or a end of day count, as well as make note of anything interesting that occurs. If there is a sale, make sure to record it in the sales book and update the sold piece’s Inventory Book entry. There are bags and paper for wrapping fragile pieces on the shelves in the closet.
  3. Visitors can be irregular, so bring something to do during slow periods. Visitors especially like to see artists making art when they come in, and there is a plastic tablecloth in the closet you can put on the table if you want to paint. If the Gallery needs it, you can also sweep or dust shelves while you are there. Cleaning supplies are also located in the closet. There is also WiFi in the building – details should be in the front of the record book – if you want to bring a laptop.

When you leave

  1. Make sure you’ve recorded all the visitors in the record book, and total any sales that happened. Put any yellow receipt copies in the cash box, as well as any donations from the donation jar, and plug the tablet in to charge.
  2. If there is any food in the little trashcan, or if it is full, take it out to the city trashcan on the street corner. Bring in the Gallery sign and make sure the room is tidy. Check that the back hallway and bathroom lights are off and latch the back door. Turn off the lights, lock the door, and replace the key, scrambling the lock afterwards.
